Job Purpose:
As Operations Project Manager, you will play a pivotal role in driving project success through close coordination with our Senior Project Managers and Project Managers. You will be apart of the whole project life cycle, including both pre and post-sale execution, ensuring seamless coordination across departments and adherence to the company's workflow. You will ensure successful and timely project delivery through strong leadership, quality assurance, and departmental accountability.
Ownership & Decision-Making:
As a key operational leader, you are expected to take full ownership of the projects under your management. This includes having the ability to make critical decisions that keep projects on schedule and aligned with company goals. Whether it involves authorizing overtime, adjusting workflow steps, reallocating resources, or addressing unforeseen obstacles, you are empowered to act decisively. Your ability to identify roadblocks, propose solutions, and implement actions without delay is essential to maintaining momentum and achieving success. This role demands proactive leadership, a results-driven mindset, and a commitment to doing what it takes to move projects forward efficiently and effectively.
Key Responsibilities:
- Department Oversight.
- Lead, manage, and support the daily operations of the Project Management department.
- Assist in defining the scope of work of the project.
- Provides guidance to eh Senior Project Managers and Project Managers in the planning, implementation, executing and recording specific short or long-term projects.
- Provide support with determining the resources (man power, equipment, budgets, work flow etc.) required to complete the project.
- Assists in determining the objectives and measures upon which the project will be evaluated at its completion.
- Act as an internal quality control check for the project.
- Oversee handling of special projects and/or programs.
- Provide on-site leadership for project team by building and motivating team members to meet project goals, adhering to their responsibilities and project milestones.
- Work with the Senior Project Managers, Project Managers, Warehouse Supervisor, and Installation Supervisor to address cost and schedule related matters.
- Communicate any volume issues that may present themselves. This includes forecast needs in relation to material storage needs. as well as staffing fluctuation.
Operations Project Manager:
- Connect one-on-one with each Senior Project Manager, Project Manager and Project Manager Assistant to review their current workload, proactively push forward installation dates, and ensure accuracy of the upcoming project schedule.
- Serve as a back-up to lead the Biweekly Project Manager meeting, as needed.
- Complete warehouse walks, twice per week.
- Partner with subcontractors to secure the best possible pricing on their services.
- Serve as a back up to approve subcontractor’s invoices, as needed.
- Monitor open project closures to guarantee they are sent within the designated timeframes.
- Hold weekly meetings with the Director of Operations to review project status.
Process Improvement & Standardization:
- Evaluate and improve departmental workflows and processes to enhance efficiency, accuracy, and collaboration.
- Draft, maintain, and update standard operating procedures (SOPs) and process documentation as needed.
- Lead cross-functional meetings to align processes and solve recurring challenges.
Team Leadership & Development:
- Manage hiring, onboarding, and training for new team members in Project Management; including Project Managers, Project Coordinators and Project Manager Assistants.
- Conduct regular performance reviews and provide coaching, recognition, or corrective actions as necessary.
- Approve time off and PAN forms.
Reporting:
- Provide all weekly vital reports with precision, providing two copies to the Director of Operations for review.
- Complete the PM Revenue flow chart ahead of the meeting to allow ample time for discussion.
- Be a back resource for vital reports across departments including installation, survey, service and production when needed.
Project Plus:
- Serve as the department’s primary liaison for Project Plus optimization.
- Monitor team performance within Project Plus, resolve workflow issues, and ensure adherence to standardized processes.
